How to Write a Plumbing Quote That Gets Approved
A plumbing quote is not a napkin number. It is a short written offer that tells the customer what you will do, what it costs, and what happens next. The quotes that get signed fastest are the ones a homeowner can read on their phone in two minutes without calling you back for missing details.
Start with the job, not the price
Open with the customer name, job address, and a one-sentence scope. "Replace the failed 50-gallon electric water heater in the garage, including haul-away of the old unit" is clearer than "water heater." If there is more than one option, write each option as its own scope so the customer is not comparing apples to oranges.
Break out labor, parts, and extras
Separate line items keep you honest and make the quote easier to defend. Typical lines: diagnostic or trip fee (if you charge one), labor hours or a flat labor price, parts with manufacturer and size when it matters, permits, and haul-away. If a part price is an estimate pending supply-house stock, say so. Hidden lump sums are what trigger "let me think about it" conversations.
Say what is not included
Exclusions save more arguments than any disclaimer paragraph. Common ones: drywall repair, after-hours emergency rates, unforeseen copper or drain-line replacement, and code upgrades discovered after opening the wall. A short exclusions list is more useful than a page of legal language nobody reads.
Add terms the customer can act on
Include how long the price is good for (7 to 14 days is common for parts that move), deposit if you require one, expected start window, and warranty in plain words. Then give them a way to approve it on the spot. A signed quote is a record. A text that says "ok" is not.
Write it on-site if you can
The best time to send a plumbing quote is while you are still standing in the kitchen. Details are fresh, the customer is already thinking about the leak, and you do not lose the job to whoever emails first.
