Homeowners compare HVAC service quotes the same afternoon the AC dies. A clear written example helps you price consistently and helps them say yes without a second visit. Below is a sample structure you can reuse, not a price list — your market, truck stock, and warranty terms will change the numbers.
The job in one sentence
Example: outdoor unit not cooling, 4-ton split system, homeowner reports warm air and ice on the suction line. The quote should name the equipment you actually looked at, not just "AC repair."
Sample line items
A typical service-call quote might look like this:
- Service call / diagnosis — covers the trip and the first half hour of troubleshooting.
- Capacitor replacement (if that is the confirmed failure) — part plus labor to recover refrigerant only if the repair requires it. Many capacitor jobs do not.
- Labor to test run and verify superheat / subcool after the repair.
- Optional add-on: condensate flush or filter replacement if you found those issues on the same visit.
If you found a failed compressor instead, do not hide it inside the service-call total. Write two options: repair path with realistic risk, and replacement path with equipment model and warranty. What the customer needs to see
Brand and last four of the model if you have it, what you tested, what you recommend, what is optional, and how long the price holds.
