How much should an HVAC contractor charge?

HVAC has the widest published price spread of any trade - the same changeout is quoted at $3,500 in one guide and $28,000 in another. That is not a pricing question you can answer by looking it up. Here is what the figures say, why they are so far apart, and how to price a repair, a changeout and an upgrade from your own costs.

Now notice that those numbers do not agree with each other.

A 3-ton AC and furnace is reported at $7,200 in Mississippi and $15,800 in Alaska - the same equipment, more than double the price. Installer wages behind those numbers run from roughly $24 an hour in Southeast markets to $42 on the Pacific coast. Add the difference between a straight swap and a job that needs new duct, a new disconnect and a crane, and a national average stops meaning anything at all.

That is not sloppy reporting. It is what happens when you average a rural county with a coastal metro, a one-truck operator with a fleet, and a straightforward job with a difficult one. Quoting against a national average is how busy contractors end up broke — it is an average of other people’s costs, and none of them pay your insurance.

This is what an hour has to bill for you to hit 20% margin after paying yourself $75,000 and covering $24,000 of overhead across 1200 billable hours. Charge less than $98 and you are losing money on every hour you work.

Turning an hourly rate into a price

Flat rate per task, from a book you built

HVAC runs on flat-rate task pricing for good reason: the customer wants a number for a capacitor, not a stopwatch. But a flat-rate book bought off the shelf is priced for somebody else's overhead. Build yours from your own hourly cost times your own honest task times, then keep it updated - parts prices have not been stable.

Refrigerant is its own line, by the pound

Price refrigerant separately, per pound, and name the type on the quote. Costs have moved sharply and are still moving as the phase-down continues; anything folded into a flat repair price quietly becomes a loss the next time the supply house raises it. A separate line also lets you show why a leak-and-recharge is not the same price twice.

Quote repair, changeout and upgrade together

The most effective HVAC quote puts good, better and best side by side with real numbers - fix the unit, replace the unit, or replace it with something more efficient. It is not a sales trick; it is the comparison the customer is going to make anyway, badly, using a competitor's quote. Doing it for them on one page is how the bigger job gets sold honestly.

The changeout drags other trades with it

A replacement often triggers electrical work, a new pad or curb, a crane on a rooftop unit, duct or plenum modification and a permit with a mechanical inspection. Each of those is a line. Quoting the equipment and the labour and discovering the rest on installation day is how a profitable changeout turns into a break-even one.

What is a good hourly rate for an HVAC technician in 2026?

Published figures for 2026 sit around $75-$150 an hour, with the wider spread running from about $70 to $156, and some contractors in high-cost metros billing more. But the rate that matters is your break-even: your target pay, plus labour burden of roughly 20-35% on top, plus annual overhead, divided by genuinely billable hours, then lifted for the margin the business needs. How do I price a changeout?

From parts, never from an average. Equipment at your markup, install labour at your rate, the line set, the electrical work it triggers, the pad or curb, crane hire if it is on a roof, permit fee plus your inspection time, startup and commissioning, and haul-away of the old unit. Published totals for the same changeout vary by more than double between states, so a quote built from your own lines is the only one you can defend.

Should I charge a diagnostic fee?

Yes, and charge it properly. Diagnosis is the skilled part, and a no-fault visit still cost you a van, fuel and an hour. Charge it as its own line and decide in advance whether you credit it against the repair. What you should not do is give it away and hope to win the changeout - that is how you end up writing free quotes for whoever comes second.

Why should I quote good, better and best?

Because the customer is going to compare repair against replacement regardless, and if you do not lay it out they will do it against someone else's quote. Showing all three with real numbers lets them choose on facts rather than pressure, and it is consistently how the high-efficiency job gets sold - not by pushing it, but by making the running-cost difference visible next to the cheap fix.

How many billable hours should I assume in a year?

Fewer than you work, and HVAC is worse than most trades for this because of seasonality. Quoting, driving, parts runs, permit offices and invoicing are unpaid, and shoulder seasons are thin. If you plan on 1,200 billable hours rather than 2,000, your rate will survive a quiet spring.
