Who we are

QuoteFlow ("we", "us") provides quoting software for trade businesses at quoteflow.org. This policy explains what information we collect, how we use it, and the choices you have. It applies to our website and to the QuoteFlow app installed from the web or an app store. For any privacy question, email support@quoteflow.org.

Information we collect

• Account information: your business name, email address, password (stored only as a secure hash), and optionally your phone number, business address, and logo.
• Client and quote data you enter: your clients' names and contact details, and the quotes you create (titles, line items, prices, and notes). This data belongs to you; we use it only to run the service for you.
• E-signature records: when a client approves or declines a quote, we record their name, decision, the date and time, and the IP address and browser information of the device used, to create a verifiable record of the response.
• Billing information: payments are processed by Stripe. We never see or store your card number — we store only a Stripe customer reference and your subscription status.
• Cookies and analytics: we use a login cookie to keep you signed in, and our marketing pages use Google Ads and Meta (Facebook) measurement tags to understand how people find QuoteFlow. These providers may set their own cookies, subject to their privacy policies.

How we use information

• To provide the service: creating, sending, and tracking your quotes.
• To send email on your behalf: quote emails to your clients are delivered through our email provider (Resend).
• To bill your subscription through Stripe.
• To respond to support requests.
• To measure and improve our marketing.

We do not sell your personal information, and we do not sell your clients' information.

Where data lives

QuoteFlow runs on cloud infrastructure (application hosting and a managed database). Data is encrypted in transit. Service providers we rely on — hosting, database, Stripe for payments, and Resend for email — process data only as needed to provide their service to us.

Retention and deletion

We keep your account data for as long as your account exists. If you want your account and its data deleted, email support@quoteflow.org from your account email and we will delete it, along with your clients and quotes, except where we are required to keep records (for example, billing records).

Your rights

You can access and update your business details from your dashboard, and you can request a copy or deletion of your data at any time by emailing us. If you are in a region with specific privacy rights (such as the EU/UK GDPR or the California CCPA), you may exercise those rights through the same email address.

Children

QuoteFlow is a business tool and is not directed to children under 13, and we do not knowingly collect information from them.

Changes

If we make material changes to this policy, we will update this page and the date above.
